ApptOnly has two main plans (Essentials and Pro) plus optional add-ons. You can change any of it from your billing settings without contacting support. This guide walks through the mechanics and the edge cases.
Where to manage your plan
From the dashboard, go to Settings, Billing & Payments. The Billing screen shows your current plan, your renewal date, and a Change plan button. Click through to the plan picker.
Upgrading
If you upgrade (Essentials to Pro, monthly to annual, add a marketing add-on), the change takes effect immediately. ApptOnly:
- Charges a prorated amount for the rest of the current billing period at the new rate.
- Unlocks the new features right away.
- Schedules your next full billing at the new rate.
You see the prorated charge as a one-time adjustment on your next Stripe receipt.
Downgrading
Downgrading is a softer move. The change is scheduled for the end of your current billing period, not immediate:
- You keep access to the higher tier until the period ends.
- Your next charge is at the lower rate.
- Features that only existed on the higher tier go away at the period transition.
If a feature you used was on the higher tier and you downgrade, the data the feature created (campaign records, intake forms, etc.) is preserved but read-only on the lower tier. You can re-upgrade at any time to regain edit access.
Pausing
You can pause your subscription for up to three months if you are taking a break (maternity leave, surgery recovery, a long trip, a seasonal closure). During a pause:
- Your booking page goes into a "temporarily unavailable" state. New bookings are blocked.
- Existing future appointments remain on your calendar.
- Billing is suspended; you are not charged during the pause.
- Your data stays in place.
When the pause ends (or you end it early), the booking page reopens and billing resumes at your existing plan.
Cancellation
If you want to leave entirely, click Cancel subscription at the bottom of the plan-change screen. ApptOnly:
- Schedules the cancellation for the end of your current billing period (no proration; you keep what you paid for).
- Sends an export of your data automatically, so you have a backup before access ends (exporting your data).
- Maintains your booking page in "no longer accepting bookings" mode until the period ends, then takes it down.
You can reverse a scheduled cancellation any time before the period ends.
What happens after cancellation
When the cancellation actually takes effect:
- Your account becomes read-only for 90 days. You can sign in, view records, download data, but not create new bookings or process payments.
- After 90 days, your account is fully closed. Your data is deleted from active systems within the standard retention window.
Two exceptions:
- Pending payment disputes or chargebacks keep your account active until the dispute is resolved.
- Required legal retention (transaction records, tax-relevant data) is held for the period applicable jurisdictions require, regardless of account closure.
Refunds
ApptOnly does not pro-rate refunds when you cancel mid-period; you keep access through the end of what you paid for. If a billing error occurred (you were charged twice, or charged after canceling), email support and we will issue a refund directly.
What your clients see
Existing clients with future bookings see those bookings on their calendar and in their email confirmations as normal until your account fully closes. If you have not communicated the change, they will not learn it from ApptOnly's automated emails (none are sent about your account state). Tell your clients yourself, with whatever framing makes sense.
